How to use this daily checklist template

We designed this template to be easy to use and simple to share. You can copy it into any project, adapt it for personal or team use, and modify fields such as due dates or priorities.

This checklist is structured with key sections: Task List, Prioritized Tasks, Time Allocation, Tools & Resources, and Review & Adjustments. Each section is already laid out in Asana’s List View for ease of use. You can also switch between views, such as Calendar, Board, or Timeline, to suit your preferred working style.

Step 1: Create your daily task list

Start by jotting down everything that typically happens in your day, from team huddles to client check-ins. Think about recurring deliverables, daily reports, inbox sweeps, or administrative duties. Having all of these items captured in one place lays the foundation for a dependable daily workflow.

Next, transfer these items into your Asana template using individual tasks or subtasks. This approach gives each task a dedicated space for tracking progress, setting deadlines, and adding notes. For example, a marketing manager might include tasks like "check analytics dashboard" or "review campaign assets."

In the template, this corresponds to the "Task List" section. It’s your general holding area for all potential daily work. As tasks build up here, you’ll move the most pressing ones into the next section.

Step 2: Organize tasks by category or time

You can sort tasks by time of day (morning, midday, evening) or by function (client work, administration, team communication). Organizing by category helps you mentally prepare for different types of tasks and reduces the need for context switching. It also makes it easier to scan your checklist at a glance.

The "Time Allocation" section can support this process. Use it to visualize how long tasks might take or to group items by work blocks. For example, you might schedule 90 minutes of deep work before lunch and reserve admin tasks for the afternoon.

Step 4: Track progress and completed tasks

As you work through your checklist, mark each task complete using the checkbox feature or status field. This keeps your workflow organized and provides a satisfying sense of progress. You can also add comments or attach relevant files directly to each task.

Review what you accomplished and what didn’t get done. Use filters to view only incomplete tasks, then reschedule or reassign them as needed.
