Time management shouldn’t feel like a full-time job. Whether you're planning your workday, coordinating team schedules, or organizing daily tasks, a schedule template can help you make the most of every hour. Asana’s versatile templates work for everything, from class schedules and personal routines to team coordination, so you can build a system that fits your day your way.

Who this schedule template is perfect for

We hear from a lot of teams who have transformed their productivity by simply adopting a more intentional scheduling system. One small business owner said their employee schedule used to live on a break room whiteboard until missed changes caused problems. Now, they use an Asana schedule template so the team can view updates and swap shifts on their phones.

This scheduling template works well for:

  • Project managers needing a structured way to plan weekly tasks and due dates.

  • Operations teams coordinating employee schedules or daily workflows.

  • Students and educators building a recurring class schedule template.

  • Remote teams syncing across time zones and managing tasks.

  • Contractors or field teams using a construction schedule template to coordinate work schedules and project timelines.

  • Households organizing cleaning schedules or household chores.

  • Personal trainers and coaches creating workout schedules for clients or training schedules for athletic programs.

Whether you're organizing daily routines, managing a household, or coordinating team projects, this template is suitable for simple schedules and customizable enough to support complex workflows.

Why use an Asana schedule template?

We built this to solve a problem we hear all the time: "I know what I need to do, but I’m not sure when to do it." That gap can lead to missed deadlines and a constant sense of scrambling to keep up. A digital schedule template bridges that gap by keeping you and your team organized, preventing missed deadlines, and helping you prioritize tasks more effectively.

Businesses using Asana often report faster turnaround times, fewer rescheduled meetings, and a clearer understanding of who’s working on what. This means fewer delays and more projects delivered on time and under budget. Here’s why using a repeatable template works:

  • Plan faster with a built-in structure using Asana’s templates for daily, weekly, or monthly schedules.

  • Reduce scheduling conflicts with Asana's due times and task dependencies.

  • Visualize your tasks with color-coded Calendar and Timeline Views that reveal gaps and overlaps.

  • Customize any workflow, from workout routines to social media calendars, right in Asana.

  • Collaborate in real time by assigning work and sharing updates within Asana.

  • Adapt to any timeframe using it as a daily planner template, weekly schedule template, or monthly calendar template.

How to use this schedule template

  1. Duplicate the schedule template. Click “Use template” to create your own copy in Asana. Give it a name that makes sense for your workflow, whether that’s “Social Media Calendar,” “Team Schedule,” or something more personal like “My Morning Routine.”

  2. Name and organize your tasks. Use clear, simple task titles that reflect what’s happening during that block of time. Include details like start dates, task times, and descriptions so nothing gets missed.

  3. Assign work and set due times. Add assignees to each task so that everyone understands who is responsible for what. If your work is time-sensitive, use due times to log exact hours.

  4. Group tasks in a way that works for you. Break things up by days of the week, project type, or task category (e.g., Meetings, Focus Time, Admin). This makes your schedule easier to scan and follow.

  5. Customize with custom fields. Add fields like "Priority," "Work Type," or "Time Estimate" to make your schedule more actionable. These fields also help you filter and sort as your scheduling evolves.

  6. Choose your view. Toggle between Calendar View to visualize your schedule by date, or use List View for a more traditional to-do list. You can also explore Timeline or Board View, depending on your style.

  7. Keep everything in one place. Use the Dashboard tab to check progress across your schedule. Then, jump into the Messages or Files tabs to keep conversations and documents side by side with your tasks.
