International Leaves and Accommodations Administrator
WarsawApply nowWe’re looking for a skilled and detail-oriented Leaves & Accommodations Administrator to support our international workforce through complex and often sensitive moments. You’ll bring deep knowledge of international leave laws particularly EMEA, accommodations processes, and workers' compensation compliance, along with strong operational and project management capabilities. In this role, you’ll be a trusted partner to employees and managers alike — navigating nuanced situations with sound judgment, efficiency, and care.

You will also be helping design the administration systems and processes that will allow us to scale our programs for rapid growth, partnering with our legal team and other internal stakeholders to update and develop new policies and bringing real value to our client by enhancing their end-to-end experience learning about and navigating leaves, time off, accommodations and worker’s compensation.
The ideal candidate will have a deep understanding of leave management policies, disability accommodations, and related regulatory requirements in the EMEA and APJ regions, and will report to the Head of People Operations.
This role is based in our Warsaw office with an office-centric hybrid schedule. The standard in-office days are Monday, Tuesday, and Thursday. Most Asanas have the option to work from home on Wednesdays. Working from home on Fridays depends on the type of work you do and the teams with which you partner. Key Responsibilities:
- Support our leave, accommodation and worker’s compensation policies globally, and serve as the subject matter expert for employees and managers at all levels for questions and escalations
- Ensure compliance of our time off, leave, accommodation and worker’s compensation programs with all national or local regulations in EMEA and APJ.
- Provide guidance to internal stakeholders on policy interpretation and application
- Monitor and ensure compliance with local and global regulations regarding leaves and accommodations
- Act as a point of contact for global employees seeking guidance on leaves and accommodations
- Collaborate with cross-functional teams to ensure consistency and effectiveness of the program across all EMEA and APJ regions
About you:
- 8+ years of relevant HR experience, including working with leaves, time off, accommodations and workers compensation programs
- Demonstrated understanding of absence, accommodation and workers compensation administration processes, with examples of how you have improved them
- Demonstrated curiosity about AI tools and emerging technologies, with a willingness to learn and leverage them to enhance productivity, collaboration, or decision-making.
- Demonstrated knowledge of the regulations that impact leaves and accommodations in EMEA and APJ, and experience of their hands-on application
- Experience managing vendors, projects and programs
- Experience managing time off and leaves in Workday or other HRIS administration system
- Experience with Payroll and statutory leave payment programs
- Excellent communication skills for collaborating with other teams, internal and external, and customer service skills, empathy and emotional intelligence to support our client in highly sensitive conversations

To ensure pay is fair and not impacted by biases, we're committed to looking at market value which is why we check ourselves and conduct a yearly pay equity audit.
For this role, the estimated base salary range is between 21,000 - 23,800 PLN. The actual base salary will vary based on various factors, including market and individual qualifications objectively assessed during the interview process. The listed range above is a guideline, and the base salary range for this role may be modified.
