What is Blume Events?

Blume Events is where B2B teams plan the trade shows, conferences and webinars they take part in: who goes where, the event checklist, deadlines, trips and bookings. The Asana integration puts that plan into the project your team already works in and keeps both sides in step.

  • Every event becomes a task in one Asana project, named "[Events] name · dates", due on the first day and assigned to the event owner.

  • The tasks you choose become its subtasks, with the assignee (matched by email), due date and status.

  • Work in Asana as usual: status done, assignee, due date, title, description, new subtasks and comments come back to Blume Events within seconds.

  • Decide what goes to Asana per event, per task or per template item.

  • Import your Asana task templates (such as a webinar or a booth) as event templates, and update them from Asana when they change.

  • A task or event deleted in Blume Events is removed from Asana, so the project never holds stale work.

How to connect Blume Events + Asana?

Before you start:
  • A Blume Events company account where you are an Owner or Admin. Sign-up is free at https://events.amstery.com/sign-up.

  • An Asana account with access to the project where events should go. A separate project, for example "Events 2026", works best.

  • Your colleagues' emails in Blume Events should match their Asana accounts, so tasks are assigned to the right people.

What the app can do in Asana?

The app works on behalf of the Asana user who connects it and sees only what that user can see. In the chosen project it creates, updates and deletes tasks, subtasks and comments, reads task templates, and adds a webhook so changes made in Asana arrive within seconds. It reads the names and emails of workspace members only to match assignees.

Steps to connect:
  1. In Blume Events, open Settings → Integrations and click Connect Asana.

  2. On Asana's screen, check the account and click Allow. You return to Blume Events.

  3. Pick the Asana workspace, then the project for events.

  4. Choose what goes to Asana:

    • "Mirror every event from the Contracted stage onwards" (on by default). Any event can still be switched on or off on its page.

    • "Tasks added by hand go to Asana". Tasks planned from a template follow each template item's "Asana" mark.

  5. Click Sync people to match your team to Asana users by email address.

How to use:
  1. Open an event. Its Overview tab shows the Asana section: "Open in Asana", the last update, and a switch with three options: "Use workspace setting", "Mirror to Asana", or "Do not mirror".

  2. Within 2 minutes, the event appears in the project as "[Events] name · dates", due on its first day and assigned to the event owner. Its tasks are subtasks with the assignee, due date and status.

  3. On the event's Tasks tab, select tasks and use Asana… → "Add to Asana" or "Take out of Asana". A task removed from sync is removed from Asana.

  4. Work in Asana as usual. Status done, assignee, due date, title, description, new subtasks and comments come back to Blume Events. A subtask deleted in Asana becomes "Not needed".

  5. Optional: Templates → Import from Asana copies one of the project's task templates into an event template. "Update from Asana" on that template picks up later changes.

Disconnect

Go to Settings → Integrations → Disconnect Asana. This removes the webhook, revokes the app's access in Asana and deletes the stored tokens. Tasks already in Asana stay where they are but receive no further updates.

Troubleshooting:
  • An event is not in Asana: it must be in the Contracted stage or later, or have "Mirror to Asana" chosen on its page. Changes reach Asana within 2 minutes.

  • A subtask has no assignee in Asana: the person's email in Blume Events does not match an Asana user account. Settings → Integrations shows how many people are matched.

  • Changes in Asana arrive late: Settings → Integrations indicates whether they arrive in real time or every 2 minutes.
