What is Whalesync?

Whalesync keeps your Asana projects in two-way sync with Airtable, Notion, Google Sheets, Supabase, Postgres, and more. Each project becomes a table and each task a row, with sections, assignees, due dates, tags, and the project's own custom fields included. Edit a task on either side and the other side updates within seconds. Teams use it to report across every client project in one place, create tasks straight from a content calendar or intake sheet, and to share parts of a project externally. Setup takes a few minutes with no code required. 7-day free trial, no credit card.

Example uses:

  • Report across every client project: sync them all into one Airtable base and build the views Asana doesn't give you.

  • Create tasks from a content calendar or intake sheet in Google Sheets or Airtable. Each new row becomes an Asana task with its section, owner, and due date set.

  • Share part of a project outside Asana: filter the sync to the tasks that matter and send them to a Notion database. Edits made there sync back to Asana.

How to connect Whalesync + Asana?

Before you start, you need:

  • An Asana account that can see the projects you want to sync.

  • An account in the app you want to sync with, such as Airtable, Notion, or Google Sheets.

Follow these steps to connect Whalesync and Asana:

  1. Go to app.whalesync.com/install/asana and sign in, or create an account (7-day free trial, no credit card required).

  2. Click Authorize, pick your Asana account, and click Allow. Then choose your Asana workspace from the "Select which workspace you want to use" dropdown, which lists every workspace your account belongs to.

  3. Pick the other app you want to sync with and connect it.

  4. Choose the Asana projects to sync. Whalesync shows each project in the workspace you chose in step 2 as a table, named after the project, with one row per task. Match each project with an existing table in the other app, or have Whalesync create a new one. Archived projects, and private projects your Asana account isn't a member of, aren't listed.

  5. Check the field mapping and click Save and continue.

  6. Click Activate sync. Whalesync copies your existing tasks, then keeps both sides in sync.
