## Why use Asana’s progress report template

Here at Asana, we’ve seen how much time teams save when reporting is automated and consistent. With a progress report template, you can capture updates, share results, and customize it to match how your team works best.

You can tailor this template for almost any type of progress report, including:
- **Daily progress report template:** Ideal for teams tracking short-term deliverables or day-to-day tasks.
- **Weekly progress report template:** Perfect for project managers who need to summarize accomplishments, blockers, and next steps every week.
- **Monthly progress report template:** Helps leaders and stakeholders review long-term progress and key milestones.
- **Quarterly progress report template:** Summarizes achievements across multiple projects.
- **Employee progress report template:** Tracks individual goals, performance metrics, and development milestones.

By customizing the Asana template for [your specific workflow](https://asana.com/resources/workflow-diagram), you can turn any reporting process into a repeatable, time-saving system that helps you make decisions and set goals.

## How to use this progress report template

We designed this progress report template to make reporting simple and actionable. Each section in your Asana project maps to a key part of your status report, so you can track updates, document risks, and plan next steps without jumping between tools. With this template, every reporting cycle (weekly, monthly, or quarterly) builds on the last to help your team see progress trends over time.

### Step 1: Complete your executive summary

Start by summarizing the big picture of your report. The Executive Summary section gives stakeholders a quick overview of the project name, timeline, and reporting period. Use this space to highlight the overall project status, key metrics, and milestones reached since your last update.

Also, add any high-level insights or takeaways to your [executive summary](https://asana.com/resources/executive-summary-examples). For example, you might note that the project remains on schedule, budgets are stable, or goals are trending positively.

### Step 2: Update the project status summary

The Project Status Summary section is where you document the current progress and [status of the project](https://asana.com/resources/how-project-status-reports). Include information such as task completion rates, recent goals, and team bandwidth. You can use custom fields for risk level, effort estimate, and progress percentage to quantify your status clearly. You should also explain any deviations from the plan. If milestones were delayed, note why and how your team is addressing those blockers.

### Step 3: Log accomplishments (work completed)

Use the Accomplishments section to list completed [project deliverables](https://asana.com/resources/what-are-project-deliverables) or tasks from the reporting period. Each accomplishment should link directly to the related task in Asana, making it easy to review supporting documentation or comments. If you track results in tools like Google Sheets or Excel, link those files here for reference.

This section is a great place to summarize trends or wins. Mention measurable achievements, such as “increased social media engagement by 12%” or “closed 10 new sales opportunities.”

### Step 4: Identify challenges, issues, and risks

Every project faces obstacles, and this section helps you document them. The Challenges (Issues and Risks) section is where you list blockers, dependencies, or areas where progress slowed. Use priority and risk level fields to categorize and flag items that need escalation.

You can also include context for each issue: what caused it, who’s responsible for resolution, and how it affects the timeline. This documentation makes it easier for stakeholders to approve resources or adjust priorities in response to changing conditions.

### Step 5: Outline plans and next steps

The Plans (Next Steps) section connects your accomplishments to future work. Use it to describe upcoming deliverables, goals, or milestones for the next reporting period. Assign tasks to team members and set due dates. Add links to related [project plans](https://asana.com/templates/cross-functional-project-plan) or sub-tasks for visibility.

### Step 6: Assign and track action items

The final section, Action Items, turns insights into tangible work for your team. Convert any follow-up items, like stakeholder approvals, new requests, or risk mitigations, into Asana tasks. Use the assignee and due date fields to ensure no task falls through the cracks.

By maintaining [action items](https://asana.com/templates/action-plan) within the same workspace, teams can close the loop between reporting and execution. You’ll create a living workflow where reports naturally evolve into results.

## FAQs about progress report templates

#### What is a progress report template?

A progress report template is a simple framework that helps you organize project updates in one place. The goal is to make it easier for teams and leaders to understand what’s been accomplished, what’s in progress, and what might need attention. Using a consistent format saves time and keeps everyone focused on the same goals.

#### What should be included in a project progress report?

A project progress report should include a summary of what’s been completed, what’s coming next, and any challenges or risks to address. Adding measurements like completion percentages or timelines helps others see how work is moving forward. Visuals such as charts or dashboards make your summary easy to read and more meaningful.

#### How often should I send progress reports?

Progress reports should be shared as often as your team needs updates to coordinate work. Some teams prefer weekly updates, while others find that monthly summaries are enough to track outcomes. Choose a schedule that fits your team’s pace and keeps everyone informed without adding unnecessary work.

#### Can I customize this template for different workflows?

You can customize this template to fit any type of work or reporting style. Rename sections, add or remove fields, and include links or attachments that make sense for your team. The idea is to build a format that helps you communicate clearly and track what matters most.

#### What’s the difference between a progress report and a status report?

The difference between a progress report and a status report is how each captures time. A progress report looks at what has been accomplished over time, while a status report captures how things stand right now. Many teams use both to see where they’ve been and where they’re headed.

#### Why use Asana instead of spreadsheets or PowerPoint?

Using Asana instead of spreadsheets or PowerPoint slides keeps your updates connected to the actual work. You can automate reminders, track ownership, and see live results without switching tools. This makes reporting faster, more accurate, and easier for everyone involved.
