Founded in 1862 as a rope factory, it now develops and sells performance clothing, shoes, backpacks, sleeping bags, climbing and avalanche equipment. Mammut now operates in 40 countries and employs around 800 people.

The outdoor specialist's mission is not only to offer mountain sports fans high-quality, innovative, and safe products, but also to inspire them with unique marketing experiences. Marketing revolves around professionally produced content, from articles and interviews with professional athletes to exciting short films. In addition, there are always major projects such as the current trail running campaign GRIT, which accompanied three runners on their 340-kilometer journey across Iceland and included storytelling, Strava campaigns, videos, social media, and more.

Around 100 employees work closely together in the marketing team to make such creative campaigns a reality.

## Asana streamlines creative work

There are numerous creative minds behind every marketing campaign – designers, copywriters, photographers, social media specialists and more. Although global marketing comes from the company headquarters in Seon, there are also close collaborations with teams at other locations around the world and with external agencies. The marketing department always works on five seasons and several collections at the same time. This means that dozens of projects in different stages have to be handled in parallel, from the initial concept to the writing of marketing slogans and photo shoots, to the layout and launch event. In addition, local and regional campaigns are ongoing. To make the many campaigns a success, countless cogs have to mesh.

This is only possible if the team is well connected, has transparent processes, and communicates optimally with each other. Mammut has therefore done away with manual to-do lists, self-imposed deadlines, and working in silos, and since 2021 has been using Asana to create a whole new way of coordinated and interdisciplinary collaboration. The company uses the work management tool to set up clean marketing campaigns, centrally manage all requirements, key data, and content, and accelerate the creative development process.

Currently, around 100 Mammut employees use Asana, including the marketing teams as well as colleagues from Product Engineering, Retail, Sales Promotion, and Customer Loyalty. In the last quarter alone, they used the platform to create almost 6,000 tasks, carry out 92,000 activities and initiate 27,000 collaborations; Asana has automatically taken over 1,600 actions in the background. The number of projects managed with Asana so far is 144. Introduction to the tool is already an integral part of the onboarding phase for new employees, because Asana now largely determines the daily workflow.

## Visibility for complex campaigns

At Mammut, Asana connects event teams, the newsletter editorial team, digital marketing experts, e-commerce specialists, content managers and advertising strategists, even across national borders. The platform helps all employees to improve processes and work more smoothly with one another. Like in a rope team, everyone can rely on the others. Creative Operations Manager Raphael Lechner pulls all the threads of the individual projects together.

The trained photographer and media designer is particularly pleased with two advantages: “First, with Asana, we have gradually brought transparency to our complex campaigns. We have an overview of the current status of all work steps, can exchange ideas directly in Asana via the comment function, and coordinate everything better. Second, we have created a level of measurability that helps us set realistic deadlines and also meet them."

Raphael Lechner particularly appreciates the timeline, which allows the team to clearly display all tasks with their corresponding deadlines. “We can see exactly how everything is connected and how quickly a campaign can be launched. This also helps us better manage expectations within the company.”

With Asana, we can map the entire campaign planning process, including project phases, subtasks, milestones, and dependencies. And the content calendar shows us the status of content in progress in real time.

## Bonus: significantly fewer emails

The improved measurability of the workload helps Mammut with capacity planning. When employees have too much work piling up, tasks can easily be assigned to other team members in Asana. Another noticeable advantage in everyday work is that the volume of emails has reduced, especially in campaign planning. The time saved by using the comment feature in Asana and the faster search for information can be extrapolated to 20 days a year. And when emails arrive, they can be converted into Asana tasks right away with the Outlook integration.

Another integration with the collaborative design tool Figma also allows marketing staff to view and comment on design prototypes directly in Asana, which simplifies the feedback process. Overall, fewer questions and coordination loops are needed, and video conferences and on-site meetings have become less frequent. This means less time is lost on work about work and employees can be more productive.

We notice that we have more space in our calendar. Because everyone can see what needs to be done and when, everyone can better organize their workload.

## Asana helps optimize marketing budgets

With a sophisticated content marketing strategy, the dialogue with customers at Mammut takes place across many channels, including, for example, the online journal and newsletter, social media such as Instagram, and trade media. Thanks to the real-time overview of all projects, Mammut can now always see where the most marketing activities are currently taking place and adjust its campaigns accordingly so that all communication channels – and thus the budgets – are optimally used.

The team also saves money because there are fewer surprises thanks to the transparency between the individual work groups. “A project getting stuck somewhere due to a lack of communication or planning, and a freelancer or an external agency having to step in urgently to help out, that actually doesn't happen anymore,” explains Raphael Lechner.

In cases where an external specialist is brought in for special tasks, he can imagine guest access to Asana in the future, which would make collaboration easier.

In addition, Mammut wants to expand Asana usage within the company, connect additional teams, and further develop its best work practices. Further automation of workflows is also planned for the near future to save additional time – for example, with custom fields that automatically assign new tasks to the right employee.
